Changes That May Affect Your Aid

The Financial Aid Office maintains, and monitors compliance for, our Satisfactory Academic Progress policy. In order to maintain eligibility for Financial Aid, full-time graduate academic students are required to be enrolled and complete an average of 12 units each academic quarter, or 36 units for an academic year. Part-time students are required to enroll and complete an average of 6 units per academic quarter, or 18 units for an academic year. This part-time policy also applies to students enrolled in the Working Professionals MBA Program.

Students who are enrolled for less than 6 units in an academic quarter are not eligible for financial aid. This includes Work Study, Direct Loans, Perkins Loans, GPLUS Loans, and campus expansion grant funds. The Financial Aid Office will receive enrollment information prior to the deadline for adding/dropping classes for students enrolled in less than 6 units. The Financial Aid Office will e-mail students at their UC Davis e-mail address, that failure to be enrolled in 6 units will cause the student to lose any disbursed financial aid for that quarter. Once the add/drop date has passed, the Financial Aid Office will pull back all financial aid disbursed for the quarter in which the student is not enrolled for at least 6 units.

Federal Verification

If your FAFSA is selected for Federal Verification, the Financial Aid Office is required by federal regulation to request additional documents (e.g., tax returns) to verify the information on your FAFSA. You will also be asked to complete the Verification Worksheet, and submit it along with your tax returns. We cannot disburse financial aid until all verification and documentation requirements are satisfied.

Changes in Enrollment

If you reduce the number of units you are taking or switch to part-time status, you may be required to repay financial aid already received. Full-time enrollment for graduate students is 12 or more units per quarter. Graduate students who are in "coursework only" status are NOT eligible for most types of financial aid.

The Financial Aid Office verifies unit totals before disbursement of financial aid and at the end of each quarter. Checks cannot be released to students who are on a waiting list for courses/units until the units are authorized on the Student Information System (SIS).

Withdrawal from School

To officially withdraw from school, you must complete and submit to the Office of the Registrar a Notice of Cancellation/Withdrawal form. When the Financial Aid Office receives notice of your withdrawal, we will recalculate your financial aid eligibility based on the date of withdrawal. The Financial Aid Office will determine the amount of aid you are entitled to keep (if any) and the amount of funds that must be returned to the University, the State, and Title IV programs. You may request a copy from the Financial Aid Office of the formula used to determine refunds and return to aid amounts.

Considering Special Circumstances

You may request that the Financial Aid Office review special circumstances. Stop by the Financial Aid Office to discuss your request with a financial aid advisor with the Graduate Financial Aid Office.

Requesting Revisions

Complete a Change-In-Aid through MyAwards to:

  • change your enrollment
  • change to part-time status
  • report returning from Planned Educational Leave
  • request funding for child care
  • request additional Direct Loan
  • report additional scholarships or other resources received during the academic year

You may request revisions using the online Change-In-Aid form available through MyAwards.
