GSR Employer Work-Study FAQs

  • What kind of work-study opportunities are available for graduate students?
  • Graduate Studies has allocated Federal Work-Study (FWS) awards to graduate programs to be used for Graduate Student Researcher (GSR) positions during the 2023-24 academic year.  This allocation is designed to give graduate programs additional funds that may be used for the support of quality graduate students who show financial need.  The Graduate Financial Aid Office (FAO) manages the awarding process. 
  • How is eligibility for GSR Work-Study determined?
  • To be eligible to receive FWS award, a student must be a US citizen and/or a permanent resident; who qualifies for need-based financial aid. Non-resident alien students (generally on a J-1 or F-1 Visa) are not eligible for FWS. Students must have filed a Free Application for Federal Student Aid (FAFSA). Determination of a student’s eligibility is based on their financial need. The financial need must be equal to or greater than the combined salary and fees for the requested appointment.
  • How do I determine if a student meets the minimum financial need eligibility requirement to qualify for Work-Study?

  • What are the time reporting requirements?
  • In addition to the Graduate Work-Study Time Record (Monthly) departments are responsible for ensuring the student and supervisor sign the mandatory Work-Study GSR Monthly Time Record and the supervisor sends it to workstudy@ucdavis.edu on a monthly basis to comply with federal regulations by the 15th of the following month.
  • Work-Study has not been applied to student pay, how do I resolve?
  • Ensure the form Work-Study Service Channel form has been submitted to the Service Channel and ensure the Service Channel enters the Work-Study Position Pool ID on the student's position in UCPath.  Work-Study set-up can be verified using the UCPath tab in GradHub and using Cognos Reports 208 and 339.  If work-study funding needs to be applied retroactively it may be necessary to initiate a Salary Cost Transfer (SCT).  Please refer to the UCPath Slide Decks - SCT Tool for additional guidance.
